512 Automated Intelligence LLC ("512AI," "we," "us," or "our") provides AI-powered automation tools — including chatbots, voice agents, and workflow integrations — to small and mid-size businesses. This Privacy Policy explains how we collect, use, share, and protect information when you interact with our website, demos, or client-deployed AI tools.

1. Information We Collect

Information You Provide Directly

  • Name, email address, phone number, and business name submitted through contact forms, booking requests, or demo interactions
  • Messages and inquiries you send through our website or client chat widgets
  • Appointment preferences, service requests, and other details you share during a conversation

Information from AI Interactions

  • Chat conversations: Text messages exchanged with our AI chatbots, including any personal details you voluntarily provide
  • Voice conversations: Audio recordings and transcripts of calls with our AI voice agents. All voice calls are recorded and you will be informed at the start of each call
  • Interaction metadata: Timestamps, session identifiers, conversation flow data, and language preferences

Information Collected Automatically

  • IP address, browser type, device type, and operating system
  • Pages visited, referring URL, and time spent on site
  • Cookies and similar tracking technologies for analytics and functionality

2. How We Use Your Information

  • To provide, operate, and improve our AI automation services

4. Data Retention

  • Chat conversation logs: 90 days
  • Voice recordings and transcripts: 90 days
  • Booking and appointment data: 12 months
  • Audit logs: 24 months

After the retention period, data is permanently deleted or de-identified. Clients may request earlier deletion by contacting us.

5. Your Privacy Rights

Under the Texas Data Privacy and Security Act (TDPSA) and other applicable laws, you have the following rights:

  • Right to Know: Request what personal data we have collected about you
  • Right to Correct: Request correction of inaccurate personal data
  • Right to Delete: Request deletion of your personal data
  • Right to Data Portability: Receive your data in a portable, machine-readable format

  • Encryption at rest: AES-256 encryption for stored data
  • Access control: Row-level security (RLS) policies on all database tables
  • Authentication: JWT tokens and API key authentication for all service-to-service communication

7. AI-Specific Disclosures

  • Our AI chatbots and voice agents produce probabilistic responses — they are not deterministic and may occasionally produce inaccurate information
  • AI-generated responses do not constitute binding offers, quotes, commitments, or guarantees on behalf of 512AI or any client business
  • All voice calls with our AI agents are recorded, and callers are informed at the beginning of each call
  • We do not use your personally identifiable information to train or fine-tune AI models. Conversation data sent to AI providers is processed under their data processing agreements and is not used for model training

8. Children's Privacy

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 18, we will promptly delete it. If you believe a child has provided us with personal data, please contact us immediately.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date. Your continued use of our services after changes are posted constitutes acceptance of the updated policy.

10. SMS / Text Messaging

By providing your phone number through our AI chat widget, voice agent, or booking forms, you consent to receive transactional text messages from 512AI and its client businesses. These messages include:

  • Booking confirmations and appointment reminders
  • Service status updates
  • Follow-up communications related to services you requested

Message frequency: Message frequency varies based on your interactions. Typically 1-5 messages per service request.

Message and data rates may apply. Your mobile carrier's standard messaging rates apply to all text messages sent and received.

Opt-out: You can opt out of text messages at any time by replying STOP to any message. After opting out, you will receive one final confirmation message and will no longer receive texts from that number.

Your phone number will not be shared with third parties for marketing purposes. We only use your phone number to send service-related messages as described above.
